An interactive toolkit for the four nonprofit board officer roles: onboard a new officer, set clear expectations, define each role, and plan succession, all on your own letterhead.
Team chat. When you are signed in and part of a team, a Team chat button sits in the bottom-right corner of this app. It opens a real-time chat with your whole organization (live presence, typing indicators, and full message history), so you can message your team without leaving your work. Committee-specific chats live on your Team page.
About the app
Improve a document you already have: As well as generating documents, you can upload one you already wrote and have AI improve it. Open the AI Automations page and use the "Improve an existing document with AI" card: pick a file (Word, text, or a text-based PDF), and AI returns a cleaner version plus a summary of what changed, with your original kept.
The Board Officers app helps a nonprofit board run its officer roles well: bring a new officer up to speed, agree on what the role involves, keep a clear reference for each role, and plan for who comes next. Pick a role, fill in a worksheet, and export a clean document on your own letterhead.
Everything runs in your browser, nothing is sent anywhere, and every document exports to Word, plain text, or print.
Board chat
Alongside the Team chat button, this app has a purple Board chat button. It appears only for people on your organization's Board of Directors roster (plus the organization owner and admins, who always have access) and opens the same private board-only room that the Board Management app's Board Channel page uses. Anyone not on the board roster simply does not see the button. Team chat remains the general room for everyone with app access.
The four roles
President / Chair: leads the board, runs meetings, partners with the Executive Director, and leads the Executive Director evaluation.
Vice President: stands ready to lead, owns a portfolio, and is usually the chair’s successor.
Secretary: keeps accurate minutes, ensures proper notice and quorum, and maintains the corporate record.
Treasurer: leads financial oversight, keeps controls in place, and helps shepherd the budget and filings.
Every tool in the app works for whichever role you select.
New in a role? Open Getting Started (near the top of the sidebar, right under Home). It is a step-by-step first-weeks checklist for each office: pick President / Chair, Vice President, Secretary, or Treasurer, and work top to bottom. Every step links to the exact tool, your checkmarks are saved per role, and a progress bar shows how far along you are.
Visit the My Organization page once to add your organization and letterhead. Your organization then pre-fills the forms across every app.
For a new officer, run the Officer Onboarding Kit, then the Role Agreement. To learn the roles, work through the Course Modules.
Your first session
Brand new to the app? Follow these steps in order. By the end you will have set up your organization and produced an onboarding kit for a new officer. Labels in blue match exactly what you see on screen.
Open the app and sign in. Go to the app. If you are not signed in, click Sign in ↗ (top right) and use your All In One Nonprofit email. Signing in is what lets the AI Automations and Email buttons work; the worksheets and course work even before you sign in.
Set up your organization once. Open the My Organization page and fill in your organization's details. You set this up once and it pre-fills every form in every app. You can also customize your organization's language there, renaming platform terms like donation or donor to the words your organization uses.
Add your letterhead and signature (optional but recommended). On the same My Organization page, upload your letterhead, add your footer (address, contact details, EIN), and add a signature (used on the Role Agreement). These carry across every app.
Open a tool. In the sidebar, open the Officer Toolkits group and click Officer Onboarding Kit.
Pick the role. At the top of the form, use the Which officer role? dropdown and choose President / Chair, Vice President, Secretary, or Treasurer. The whole kit re-tailors to that role.
Fill in the details. Add the officer's name and the other fields. Each question has a Notes box for your own reminders. The tool auto-saves; you can also click 💾 Save worksheet at any time.
Generate and export. Click Generate the onboarding kit →. In the document window, click 📄 Word (.docx) to download it on your letterhead, or use ✉️ Email to send it (enter recipients and subject, then Send email).
Come back anytime. Click Dashboard in the sidebar; your saved worksheets are listed so you can reopen them.
The same role dropdown appears in every tool, so one app covers all four officer roles. Switch the role and the document updates to match.
Saved worksheets & notes
Each tool works like a worksheet you fill in and keep.
Notes after each question for your own thoughts and decisions.
Saved automatically as you type, with a Save button and a last-saved time.
Reopen anytime and pick up where you left off; the Dashboard lists your saved worksheets.
Export with your notes included as a "Notes and Decisions" section in Word, text, or print.
Worksheets are saved in this browser on this device. They are not yet synced to an online account, so use the same browser to keep your record and export anything you want to keep elsewhere.
The tools
All four tools live in the Officer Toolkits sidebar group and follow the same pattern: pick the role, fill the form, add notes, then generate and export.
How to use any tool: Sidebar → Officer Toolkits group → click the tool → set Which officer role? → fill the fields and Notes → click the blue Generate → button → in the document window click 📄 Word (.docx) to export.
Officer Onboarding Kit
A welcome and orientation for a newly elected or appointed officer: what the role is, core responsibilities, the first 90 days, key relationships, and common traps, tailored to the role you pick.
Click path: Sidebar → Officer Toolkits → Officer Onboarding Kit → choose the role → add the officer's name and start date → click Generate the onboarding kit → → export with 📄 Word (.docx).
Role Agreement
A clear, signable agreement that sets out what an officer is taking on, including general board expectations and a signature line, on your letterhead. Good expectations up front prevent most board friction later.
Click path: Sidebar → Officer Toolkits → Role Agreement → choose the role → fill the officer and organization fields → click Generate the role agreement → → export with 📄 Word (.docx); print it for signature, or tick Include signature (Word) if you have saved one.
You can also collect the signature electronically. Click Send for signature on the Role Agreement and the officer gets a private link by email (no account needed) to review the agreement and sign it by typing or drawing their signature behind a consent checkbox. You can either type the agreement text or upload a PDF for them to sign (Word upload is not yet supported). When they sign, the finished signed PDF (the original document plus an appended signature page with their name, signature, date, consent, and an ESIGN/UETA audit line) is filed automatically into your Document Library. You can track or resend the request from the Signature Requests page. This is a good-faith electronic acknowledgment for internal governance, not a notarized signature, so have the wording reviewed by an attorney.
Role Duties & Focus
A one-page reference for what a role really is, its core duties, the traps that catch people, and where to focus in the first year. Useful for nominating, onboarding, or a mid-term reset.
Click path: Sidebar → Officer Toolkits → Role Duties & Focus → choose the role → click the generate button → export with 📄 Word (.docx).
Succession Plan
Capture the likely successors for a role, how ready they are, the development they need, and a clean handoff checklist, so no officer role is a single point of failure.
Click path: Sidebar → Officer Toolkits → Succession Plan → choose the role → enter likely successors, readiness, and handoff items → add Notes → click the generate button → export with 📄 Word (.docx).
Worked example: a signed Role Agreement for a new Treasurer.
Open My Organization → fill your organization's details and save. Upload a Letterhead there if you have one. This is set once and carries across every app.
Sidebar → Officer Toolkits → Role Agreement.
In Which officer role? select Treasurer.
Type the officer's name and any term dates; add expectations in the Notes boxes as needed.
Click Generate the role agreement →.
Click 📄 Word (.docx) to download on your letterhead with a signature line, or Print it for a wet signature. To email it for e-signature, click ✉️ Email, add the officer's address, and click Send email.
💰 Finances (Treasurer)
The Finances group in the sidebar gives the treasurer a place to do the year's financial oversight and produce board reports. It is management tracking for the board, not bookkeeping or accounting; keep your books in your accounting software and confirm figures with your accountant.
Budget Builder. Build the annual budget by income and expense category, with a fiscal-year label and a board-approved date. It shows total income, total expense, the projected surplus or deficit, and the share of expenses going to program. Export a clean budget summary on your letterhead.
Budget vs Actual. Enter your actual income and expense so far next to the budget. Each line shows the percent of budget used and the variance, color-coded, with a note field to record why a line is off. A reserve tracker shows your months of operating reserve against a target.
Board Report. A snapshot of where you stand, an Export board report button that produces a clean figures-and-notes document, and a Draft with AI button that turns your budget, actuals, reserve, and notes into a written board treasurer's report for you to review and edit.
Committee budget requests from the Committees app can be rolled into your budget here, and this is the home for live, recurring financial reporting. Everything is saved in your browser on this device.
✨ AI Automations
The AI Automations tab drafts officer documents from a few answers, for whichever role you pick: officer welcome letters, tailored role descriptions, onboarding plans, succession briefs, transition memos, outgoing-officer thank-yous, new-officers announcements, and a treasurer's report drafted from your budget and actuals. Every output opens in an editor with the full export toolbar: Copy, Word, Text, Print, and Email to any address. You review and edit everything before it is used.
A practical course on nonprofit board officer roles: the basics of being an officer and the duties you owe, then a full module each on the President, the Vice President, the Secretary, and the Treasurer, plus a module on working together as a team, conflicts of interest, building your officer pipeline, and succession. Six modules, real-world lessons with a running example, and a quick quiz at the end of each. Your progress is saved, and lessons link to the tool that puts the idea into practice.
Profile & Branding
Set these once and every document the app produces uses them:
Organization: your organization name, which pre-fills the forms.
Letterhead: an image at the top of every generated document.
Footer: your organization name, address, contact, and EIN.
Signature: an image used on the role agreement.
These branding settings are shared with your other All In One Nonprofit tools on the same browser, so you only set them once.
Your data & privacy
Everything you enter, including your worksheets, budget, notes, and course progress, is saved to your account as you work, so it is backed up and available when you sign in on another device. The app runs in your browser for speed and syncs to your account in the background; if you have made changes on two devices, a short prompt asks which copy to keep, and clearing your browser data is safe because your account copy restores when you sign back in. Your organization branding (letterhead, footer, and signature) is set once on the My Organization page and applied here. Documents are generated in your browser and downloaded directly to you.
